ApplyWell Careers is a trading name used by a sole trader established in the United Kingdom. The sole trader operating ApplyWell Careers is the controller for personal information collected through this website and our career-support services. Privacy questions and rights requests can be sent to applywellcareers@gmail.com.

Information we collect

Depending on how you use the service, we may collect your name, email address, phone number, target role, location, salary target, CV and work-history information, LinkedIn or vacancy links, service preferences, order information and messages you send us.

Why we use it

We use personal information to respond to enquiries, provide requested CV and career services, administer orders, communicate about delivery and revisions, protect the website from abuse, keep appropriate business records and, where you separately choose to opt in, send occasional career tips.

Legal bases

Information needed to deal with an enquiry, prepare an order or provide a purchased service is generally processed because it is necessary to take steps at your request or perform our contract with you. Limited processing may also be necessary for legitimate interests such as security, fraud prevention, record keeping and service administration. Optional analytics and optional career-tip marketing rely on consent where consent is required.

CVs and career information

The free ATS checker runs in your browser. The CV text used for that free check is not intentionally submitted to ApplyWell unless you later complete an order or another form that clearly asks you to send information to us. If you purchase a service, the information and documents you submit are used to complete that service.

Career profile and product analytics

Career Planner answers, including optional salary figures, selected skills, preferences and qualifications, are sent to our server when you generate a plan. We store completed plans, progress, allowance use, payment references and company membership against your account. These profiles are self-reported planning information, not verified qualifications. Company administrators can manage membership and view staff email addresses and access status, but cannot view private career answers, salaries, plans or CVs through their company dashboard. Your CV checker still analyses your document in your browser; requesting an emailed improvement summary sends the summary and contact details described below.

Payments

Payments are handled by Stripe. ApplyWell Careers does not receive or store your full card details. Stripe processes payment information under its own privacy terms. We may receive transaction identifiers, payment status, amount, currency and package information needed to administer an order and verify payment.

Ask ApplyWell AI assistant

Ask ApplyWell is optional. When you submit a question, our Netlify server processes it to identify the career topic and relevant listed roles. The AI provider receives only approved career explanations and limited structured context, not your raw question or transcript. Automatic context is restricted to listed roles and skill IDs, strengths, broad preferences, qualification status, the plan’s data revision and a CV score band when available. We do not automatically send your name, contact details, exact salary, CV contents, uploaded files or payment information.

Chat is held in the page’s memory and cleared when you leave or reload; it is not saved in your Career Plan. Do not enter personal or confidential information. Technical hosting request processing remains subject to Netlify’s privacy practices. Provider requests use storage disabled; the provider’s own processing and retention policies still apply to the approved content it receives.

To operate the service safely, we keep daily rotating keyed hashes for rate limits and conversation counts, plus a random browser session identifier. Daily maintenance removes previous-day rate/session/feedback-receipt records; aggregate counts are retained for 30 days. Counts cover questions, successful responses, errors, page context and optional helpful/not-helpful ratings. We do not store raw questions or answers in these records. Your optional analytics consent controls Google Analytics and Microsoft Clarity; the chat area is masked for Clarity. Necessary service-security counters operate independently of optional analytics. Feedback is voluntary and never automatically changes career recommendations.

Answers are guidance, not hiring, salary or training guarantees. Check important entry requirements against official sources and actual employer requirements. You can use the Career Planner and CV tools without using Ask ApplyWell.

Website analytics

Google Analytics and Microsoft Clarity are optional. They are not activated by ApplyWell until you choose “Accept analytics” in our cookie controls. We use the resulting usage information to understand traffic, site journeys, CV-checker usage and conversion performance. We do not intentionally send names, email addresses, phone numbers or CV content to analytics services.

Email my improvement plan / legacy Career Plan links

If you ask us to email a free CV improvement plan or Career Plan, we use the email address you provide to send that requested message. A Career Plan email can contain the career routes, indicative salary milestones and skills information you chose to generate. Career Plans requested by email are saved behind a random private token so the email can reopen the plan on the website. The saved plan is intended to expire after 90 days and the private link does not contain your email address or salary in the URL.

Any separate option to receive future ApplyWell Careers marketing emails is optional, unticked by default and not required to receive your plan. If you actively opt in, we store your email address, optional first name, consent date, consent source/version and limited career-planner context such as current and target role in Resend Contacts so we can manage the marketing list and tailor relevant career content. You can unsubscribe from future marketing at any time. If you do not opt in, requesting a Career Plan does not add you to the marketing segment.

Who information may be shared with

We use service providers including Netlify for website hosting, forms and AI gateway services, an AI model provider for Ask ApplyWell responses, Stripe for payments, Google Analytics for optional analytics, Microsoft Clarity for optional experience analytics and FormSubmit for website email delivery, and Resend for requested transactional plan emails and, where you explicitly opt in, marketing contact-list management. We only share information where needed to operate, secure or improve the service, or where the law requires it.

International transfers

Some technology providers may process information outside the UK. Where relevant, we rely on the safeguards made available by those providers and other recognised legal mechanisms for international transfers.

Retention

We keep service and order information for only as long as reasonably needed to provide the service, manage revisions or complaints, maintain necessary business records and meet legal, tax or accounting obligations. Legacy emailed-link snapshots are designed to expire after 90 days. New account-backed plans remain available while the account is open. Marketing-contact records may be kept while your consent remains active and for a limited period afterwards where needed to maintain suppression, consent or compliance records. We do not promise a single retention period for every type of information because different records may need to be kept for different periods.

Your rights

Depending on the circumstances, UK data-protection law may give you rights to access, correct, erase or restrict your information, object to some processing, withdraw consent and request portability. Contact us at the email above. You can also complain to the Information Commissioner’s Office if you believe your information has been handled unlawfully.

Training preferences and progress

The training explorer works in your browser. Save on this device stores your selected role, broad region, preferences and self-reported checklist ticks locally for up to 90 days. Clear saved training data removes that device copy. Budget figures and CV-evidence drafting text are not included in saved data or sent by the training tool. Do not enter confidential or sensitive information.

Requesting a Career Plan email includes a snapshot of your training preferences and checklist with the other planner inputs. Anyone with the private link can view that snapshot. Later changes are not automatically synchronised; request another email for an updated snapshot. Clearing device data does not delete emailed snapshots; contact us to request deletion. Training analytics use category and resource IDs, not budget or evidence text, and follow your analytics consent choice.

Live course discovery

When you use the training explorer’s current-course search, ApplyWell sends only the selected target job or training area, your broad region choice, funding preference and up to four skill-gap labels to the server. That limited search context is sent through Netlify's AI infrastructure to an AI model provider with live web-search access restricted to an approved list of official, awarding-body, learning and training-provider domains. We do not intentionally send your name, email address, phone number, exact salary, CV text, budget figures or evidence-drafting text as part of this search.

Recent search results may be cached for up to six hours using the non-personal search parameters so repeated users do not trigger unnecessary AI/web-search calls. Pseudonymous, short-lived rate-limit records are also used to control abuse and cost. Live search results can change and may be incomplete or wrong. Opening a provider link takes you to a third-party website with its own privacy terms. ApplyWell does not treat a live result as an endorsement, proof of accreditation, confirmed funding or proof that the course is required for a particular job.

Business contact

ApplyWell Careers is the public-facing trading name. Formal customer correspondence can be sent to applywellcareers@gmail.com. Formal business paperwork will include any additional trader information that UK law requires.

Accounts and licences

Netlify Identity handles account sign-in and email confirmation. Stripe handles individual payments; we do not store full card details. We retain saved plans while your account is open so you can revisit them after a paid allowance expires. To request an account export or deletion, contact applywellcareers@gmail.com. Payment and transaction records may need to be retained separately. Signing out clears locally saved planner drafts and results on that browser. Company invitations are bound to the invited email and expire after seven days. Private account screens do not load our analytics or session replay scripts.
